Glossary

Terms you'll see in the portal and what they mean.

Account-level

Organization — your dental practice as we see it. You can have multiple clinics under one organization.

Clinic — a physical practice location. Most dentists have one; multi-location practices have several.

Org owner / clinic owner — the person with billing and admin authority. Usually the practice owner or office manager.

Activation — the state where your account can submit cases. Requires a complete profile and (for prepay/autopay accounts) a payment method on file.

Billing

Prepay — Stripe authorization at case submission; capture when shipped. Authorization holds the funds but doesn't take them until we ship.

Autopay — automatic charge to the default card when the case ships. No invoice review step.

Net terms — invoice issued after delivery, you pay within an agreed timeframe (e.g. Net 30).

Price list — your agreed pricing for each catalog item (crown, denture, etc.). Set by the lab and accepted via an agreement.

Price-list agreement — a formal acceptance of a price list. Required before custom prices apply.

Quote — custom pricing for a case that falls outside the standard price list. You accept or decline before the case proceeds.

Invoice — billing for a completed case (or batch).

Adjustment — a credit or charge added to an invoice (e.g. remake credit, expedite fee).

Other

Catalog item — a single restoration type (e.g. "Zirconia Crown — Anterior", "PFM Bridge Pontic").

Tooth chart — the visual selector for which teeth the case applies to. We support FDI and Universal numbering systems.

EXIF — metadata embedded in photos (location, camera, timestamp). We strip EXIF from JPEGs at upload to prevent accidental PHI leakage.

Audit log — system record of every action on your account (login, case submit, file upload, status change). Available on request.

SLA — service-level agreement. The turnaround time the lab commits to for each case type.

Remake — re-doing a case that the dentist wasn't satisfied with. Often free if reported within a window; otherwise charged.

Dispute — Stripe term for a chargeback initiated by a card issuer. Tracked in the lab's billing dashboard.
